Requesting Reimbursement from the CARES Fund

Gifts can be made to the CARES fund via the UW Foundation.
Clearly identify your gift for the CARES fund or fund 12446392. Without this information, your gift will go into a general fund and not directly to the CARES fund.
The Caring for Animals in Research Employee Scholarship (CARES) Fund offers scholarship opportunities for UW-Madison staff members who complete and pass an American Association for Laboratory Animal Science (AALAS) technical certification exam. Selected individuals will receive a scholarship that covers the examination fee for Assistant Laboratory Animal Technician (ALAT), Laboratory Animal Technician (LAT), and Laboratory Animal Technologist (LATG).
To qualify, you must have recently passed an AALAS certification exam while being employed at UW-Madison and provide an exam payment receipt and a copy of the official pass letter. Reimbursement is not guaranteed and will be offered on a first-come, first-serve basis.
Steps for requesting reimbursement
- Go to web address: https://businessservices.wisc.edu/travel-reimbursement
- Click on “Get Reimbursed.”
- Scroll down to How Do I Get Reimbursed? and click on “Access E-Reimbursement.”
- Click on “Expenses.”
- Click on “Create Expense Report.”
- Enter the following information into the General Information section:
- Attach your receipt and official pass letter in the Attachments field.
- Type "I am a (Animal Research Technician or Veterinary Technician) working for the (department), located at (building location). I passed a certification exam from the American Association of Lab Animal Sciences (AALAS). This certification has become a common requirement in the industry for lab animal care positions.” in the Justification field.
- Click on “Add Expense” and enter the following information into the Expense Entry section (your amount might vary from the example):
- Retype "I am a (Animal Research Technician or Veterinary Technician) working for the (department), located at (building location). I passed a certification exam from the American Association of Lab Animal Sciences (AALAS). This certification has become a common requirement in the industry for lab animal care positions.” in the description box.
- Click on "Accounting" and enter the following information into the fields:
- Click on "Review and Submit" to complete your reimbursement request. If approved, you will receive reimbursement by direct deposit.
